Job Description
In partnership with our client we are seeking a dynamic Senior Administrative Assistant to support a busy CEO. This a growing small business that has a wonderful mission supporting the senior population. This is a critical role in the organization as it not only supports the CEO but also will become involved with client support and interacting with internal staff and external clients. This is a full-time position, Monday - Friday and is fully on-site, there are no remote capabilities.
Responsibilities:
Ensure a smooth functioning office providing administrative and operational support.
Answering phone calls and emails.
Maintain MS office calendar and schedule appointments with clients.
Faxes, forms, and mail merges.
Gather, sort, distribute, and send out mail.
Order supplies and coordinate with vendors
Maintain client files, database, and systems.
Maintain and keep organized filing systems.
Record meeting details for reports,
Initial phone intake with clients.
Set up consultation and gather detailed information for initial meeting.
Onboarding new clients - create and set up new flies.
Data entry of all client information.
Scan, and file documents.
Create new documents, systems, and procedures to improve workflow and client experience.
Requirements
4+ years of administrative support ideally working with senior management
Client support experience is a plus
Must be proficient in Microsoft Office Suite - Outlook, Word, Excel, and SharePoint
Database Management Software experience is required
Excellent client service and communications skills.
Strong attention to detail.
Strong organizational skills, ability to prioritize work, and meet deadlines.
Dedicated team player.
Other projects and duties as required.
Salary Range
$45,000/yr - $52,000/yr (DOE)
